How to Set Up in 5 Steps

1. Open Payroll Settings and enter your tax rates, pension %, overtime multiplier, and standard hours.

2. Go to Employee Register and add every employee — name, job title, pay type, base rate, weekly hours.

3. Each week, open the Weekly Timesheet, enter the week commencing date, and log daily hours.

4. End of month: open Monthly Payroll, enter gross pay per employee. All deductions and net pay calculate instantly.

5. Copy totals to Annual Summary. Use Payslip Generator to produce a PDF payslip per employee.

Frequently Asked Questions

Does this spreadsheet work in Google Sheets?
Yes. Upload the .xlsx file to Google Drive and open with Google Sheets. All formulas, VLOOKUP references, and automatic calculations transfer correctly. Google Sheets is recommended if multiple administrators need access simultaneously.
How do I handle salaried employees who don’t submit timesheets?
For salaried employees, enter their monthly salary directly into the Gross Pay column of the Monthly Payroll sheet. Skip the Weekly Timesheet — the deduction calculations work identically whether gross pay comes from a timesheet or a fixed salary entry.
What if my tax rates change mid-year?
Update the rate in the Payroll Settings sheet. The new rate applies immediately to the current month. Previous months are unaffected as long as you’ve saved separate copies of each month’s payroll sheet.
Can I use this alongside the Income and Expense Tracker?
Yes — they complement each other directly. The Annual Summary gives you total annual staff cost, which feeds into the Staff and Contractor Pay category in the Income and Expense Tracker for a complete picture of payroll expenses.
